Collecting receipts and tracking expenses from the site
A receipt left in a pocket is an expense left uninvoiced. In Kirjus the receipt is photographed the moment it is handed over, and it attaches immediately to the right job.
A photo straight from the camera or the gallery
Several photos can be attached to an expense at once. Large phone photos are reduced in the browser before uploading, so the upload works on a weak connection too and storage does not fill up needlessly.
VAT according to the expense type
Every expense type has its own VAT rate: the general rate for materials, a lower one for accommodation, another for meals. Once the expense type is chosen, the tax share is calculated from the gross amount automatically and nobody has to remember it.
Billable or the company's own expense
An expense can be marked billable or as the company's own, and the payment method as either the company card or the employee's own money. The own-money mark tells payroll what should be reimbursed to the employee.
Approval in the same queue as the hours
Expenses follow the same approval path as hours. The supervisor handles the week's entries in one view instead of receiving receipts by email one at a time.
FAQ
Is a receipt photographed with a phone acceptable for bookkeeping?
The Accounting Act accepts an electronic voucher as long as it stays unaltered and remains readable. Kirjus keeps the original image as an attachment to the expense.
Can several receipts be attached to the same expense?
Yes. A materials purchase and the related freight receipt, for instance, can go into the same entry.
