Time logging
The employee logs the hours on a phone against a site and a work type. Overtime, breaks and billability separately. The supervisor approves or returns them with a reason.
Field work management
Kirjus brings together your employees' hours, receipts, daily allowances, equipment, work reports, bookings, quotes and invoicing into one whole — and turns them straight into bookkeeping and the VAT return. No separate spreadsheets, no photos lost in email.
You can set it up yourself in a few minutes. No credit card is asked for.
The demo company comes with customers, sites, several weeks of time entries, expenses, daily allowances, machines with fault reports, a mileage log, work reports, bookings, quotes and invoices. You can edit everything freely — the demo resets every night.

The demo is there to look around in. Do not store real customer or personal data in it — everything is visible to everyone trying it out and is deleted during the night.
Every module can be switched on or off in the company settings, so the view stays tidy even when only some of the features are in use.
The employee logs the hours on a phone against a site and a work type. Overtime, breaks and billability separately. The supervisor approves or returns them with a reason.
The receipt is photographed straight with the phone camera or attached from the gallery. VAT is calculated automatically by expense type and the expense is allocated to the right job.
Full and partial daily allowances, meal allowances, mileage allowances and the trailer and passenger supplements, according to the Tax Administration's current rates.
Machine location, the person responsible and the service date in one list. Fault reports from the field with photos, the cost of the repair and the service history behind each machine.
Inspection and insurance dates with reminders, a mileage log with the kilometres, and the separation of business and private driving for the tax authority.
A diary of what was done at the site: work phase, weather and conditions, materials used, observations and photos before, during and after. The work phases are the company's own, freely editable list.
You can share a link with the customer showing the published reports and photos of their own site, with no account needed. The link can be revoked at any time.
Spaces, crews and machines in the same calendar. Double booking is prevented, and an unconfirmed option releases itself on the due date.
A quote with its lines and VAT breakdown, and a link of the customer's own for accepting it. An accepted quote becomes a job at the press of a button.
Casual workers, subcontractors and other parties get a link of their own for confirming their shifts and acknowledging instructions — with no user account.
An invoice assembled from approved hours, expenses and trips, a printable A4 and a Finvoice file for e-invoicing.
Hours by employee and by site, a daily allowance summary and cost tracking for the chosen period. The handover to payroll takes no manual work.
New
The same information the employee enters on site becomes a voucher without anyone typing it again. Kirjus keeps double-entry books, compiles the VAT return and reads the bank statement in.
An approved expense, a sent invoice and a reimbursable work trip turn into vouchers with their debit and credit postings. Kirjus posts them itself and explains its reasoning. When you correct a proposal it learns the rule and does not ask the same thing twice.
The period's return is compiled from the recorded postings, and the page shows where every figure comes from. The file downloads in the Tax Administration's format and Kirjus has the required software identifier, so it is accepted by Ilmoitin.fi as it is.
Import the bank's camt.053 or CSV statement, and Kirjus looks for a match for every payment by reference number or amount. A matched payment marks the invoice paid, so open receivables need no manual upkeep.
Overdue invoices on one page, a reminder at the press of a button or automatically three days after the due date. Late payment interest is calculated under the Interest Act, and every dispatch is kept on record.
Kirjus does not file the return for you or pay the tax — those stay in your hands. What it does is prepare the material.
At setup Kirjus asks for your industry and uses it to choose which modules to enable, the vocabulary in the menus and the default list of work phases. The choice can be changed later in settings, and changing it deletes nothing.
Work sites, hour entries, per diems, equipment and site reports for the customer.
Recurring sites, equipment and vehicles. Per diems rarely needed.
Mobile field work: hours, trips and vehicles. Heavy equipment is not tracked.
Events, their hours and expenses and the invoicing. Equipment and per diems off.
Invoicing and accounting without operations management. An industry-independent choice for a consultant, an expert company, an online shop, an association and a landlord.
All modules in use. Switch off the unnecessary ones from the list.
Continuous development
Kirjus is our own product, and we develop it around our customers' everyday work. When you ask for a missing field, report or work phase, we start on it right away rather than saving it for the next annual release.
By phone, by email or straight from the service. It is enough to describe what the work needs to get done — we do not require a finished specification.
Small changes are often finished the same week, larger ones on an agreed schedule. You will be told when it is ready to try.
A finished feature becomes available to everyone at no extra cost and with no upgrade project. No separate versions and no installations.
A Finnish developer who answers in person — no waiting in a support queue.
Coming up
These are in progress right now. We do not promise dates in advance, but we say openly what is being built — and finished features become available to everyone at no extra cost.
Maintenance contracts and monthly charges as an invoice template of their own, from which the invoice is created by itself on the agreed day. You check and send it, or let Kirjus send it directly.
Contract and employee reports to the Tax Administration when a contract exceeds 15,000 euros. Kirjus already holds the contract sums, sites, employees and hours, so the monthly report comes out of them without separate collection.
A week view showing who is at which site and on what day, where a job can be moved to another day or another person. In the morning the employee's phone says where they are headed, and the time entry is already allocated.
Give the company name and business ID — the rest is fetched automatically from the business information system. Choosing your industry makes the initial settings for you.
Send an invitation by email and give each person a role. An employee only needs a phone browser — nothing has to be installed.
Add your customers and sites, and the hours start accumulating the same day. The first invoice comes out of the approved entries with no extra work.
The trial is free for 30 days and asks for no payment details. When it ends we get in touch and agree on what happens next — your data is kept safe until then.
Yes. The interface is designed for the phone first, because entries are made on site. There is no app to install; the service opens in a browser.
The service and the data are on a Finnish server. Every company's data sits in a database of its own, not in the same table as other customers'.
Yes. The reports can be downloaded and the invoice material is available in Finvoice format. We do not lock your data into the service.
Modules are switched on and off per company, the work phases, work types and expense types are lists of your own, and the vocabulary in the menus follows your industry choice.
Create the company yourself in a few minutes, invite your employees and watch the hours start to accumulate. The trial needs no card and does not turn into a paid subscription by itself.
