Time logging on a phone – working time tracking for field work

Logging hours is the point at which a field service company's information is either created or lost. In Kirjus the employee logs the hours where the work is done, and the supervisor can see the figures the same day.

An entry takes half a minute

The employee opens the service in a phone browser, picks the site and the work type, and enters start and end times and the length of the break. The hours are calculated automatically and overtime is separated into a column of its own. Nothing needs to be installed and the password is not asked for again every time.

The supervisor sees the situation at once

Entries move through the states draft, awaiting approval, approved and returned. The supervisor approves the rows at a glance or returns an entry with a reason, so the employee sees immediately what needs fixing. A returned entry does not disappear; it waits to be corrected.

Sites and work types are the company's own

Work types are an editable list, and each can be given an hourly rate and a mark for whether it is billable. That way the same entry serves both payroll and invoicing without the data being keyed in twice.

Hours carry forward as they are

Approved hours are compiled into a pay period report by employee and by site, and into an invoice for the customer. Neither requires re-keying: the same row travels from the field all the way to payroll and to the invoice.

FAQ

Does time logging work without a network connection?

Saving an entry requires a connection at that moment. In practice hours are entered at the end of the working day, when there usually is one. The service remembers the sign-in, so an entry takes a few taps.

Can an employee edit an entry that has already been approved?

No. An approved entry is locked, and changing it requires the supervisor to return it. That keeps the basis for payroll reliable.

Can an employee see other people's hours?

No. An employee sees only their own entries. The supervisor and the main user see the whole company.
